1. Overview
PTO Master (“we,” “our,” or “us”) is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, and what rights you have in relation to it.
PTO Master is a desktop software application designed for law enforcement agencies. All training records, recruit data, evaluation documents, and agency information are stored exclusively on your agency's local network. We do not collect, store, access, or transmit any of this data to our servers.
2. Information We Collect
We collect only the minimum information necessary to operate our licensing and support services:
a) Purchase Information
When you purchase a license, we collect through our payment processor Stripe: your agency name, agency ORI number, email address, and payment information. We do not store credit card numbers — all payment processing is handled securely by Stripe.
b) License Activation Data
When you activate a license key, our activation server records: the license key hash (not the key itself), a hardware identifier for the activated device, activation date, and expiration date. This data is used solely to prevent unauthorized use of license keys.
c) Support Communications
If you contact us for support, we collect your name, agency name, email address, and the content of your message in order to respond to your inquiry.
d) Website Analytics
Our website may use standard web analytics to understand visitor traffic. This data is anonymous and aggregated.
3. Information We Do Not Collect
We explicitly do not collect:
- •Recruit names, badge numbers, or personal information
- •Training records, evaluations, or CTR documents
- •Daily journal entries or any officer-written content
- •Agency SOP documents or policy materials
- •Any data stored within the PTO Master application
- •Biometric data of any kind
4. How We Use Your Information
We use collected information solely to:
- •Process your license purchase and deliver license keys
- •Validate license activation requests
- •Respond to support inquiries
- •Send license renewal reminders
- •Comply with legal obligations
We do not sell, rent, or share your information with third parties for marketing purposes.
5. Data Storage and Security
Purchase and licensing data is stored in a secured database with access controls and encryption. Payment processing is handled by Stripe, which maintains PCI DSS compliance.
All training and operational data processed by PTO Master resides entirely on your agency's local network infrastructure. We have no ability to access this data.
6. Data Retention
License and purchase records are retained for 7 years for legal and tax compliance purposes. Support communications are retained for 2 years. You may request deletion of your data by contacting us at ptomaster@outlook.com.
7. Law Enforcement Agency Responsibilities
As a law enforcement agency using PTO Master, you are responsible for:
- •Complying with applicable records retention laws for training documentation in your jurisdiction
- •Securing your local network infrastructure
- •Managing user access credentials within your agency
- •Backing up your local PTO Master database
8. Third-Party Services
We use the following third-party services limited to licensing and website operations:
- •Stripe: payment processing (stripe.com/privacy)
- •Resend: transactional email delivery
- •Vercel: website hosting
- •Supabase: license key database
9. Children's Privacy
Our services are intended for law enforcement professionals and agencies. We do not knowingly collect information from individuals under 18.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify active license holders of material changes by email. Continued use of PTO Master after changes constitutes acceptance.
